What is email warm up and do I need it?

Warming is the process of building a sending reputation gradually so that mailbox providers learn to trust a new domain before it starts real outreach. Skip it and your first campaign is also your last one from that domain.

What providers are actually watching

Gmail, Microsoft and the rest score every sending domain on behaviour over time. A brand new domain has no history, so it starts neutral at best and suspicious at worst.

What builds trust is a pattern: modest volume, consistent sending, messages that get opened and replied to, and almost no bounces or complaints.

How warming works in practice

Sending starts at a low daily volume and increases in steps, typically over two to three weeks. Throughout, engagement is monitored. If reputation signals hold, volume increases. If they wobble, volume comes back down.

The point is not the number of emails. It is establishing a normal, human looking pattern before real campaigns begin.

What happens if you skip it

A cold domain sending at full volume on day one is the clearest spam signature there is. The usual outcome is that placement collapses within days, and by the time you notice the reply rate is poor, the domain reputation is already damaged.

Recovering a burned domain is slow and often not worth it. Most people abandon it and start again, having wasted the setup time anyway.

Do you need to do this yourself?

Not with Leadhaus. Outreach runs on our own infrastructure with domains that are already warmed and maintained, so campaigns start properly from day one rather than after a two or three week ramp.

This is also why we do not simply hand over mailboxes and wish you luck. Maintaining sender reputation is ongoing work, not a setup task.
